Do you want to know the secret of having a stress-free, well organized vacation? You need a well-planned itinerary.
Traveling is more than just deciding on a destination, purchasing an airline ticket, and booking a hotel. You need an itinerary. When creating an itinerary, there are so many things to plan, consider and organize that you might start to feel overwhelmed, but with the help of an experienced travel advisor planning a travel itinerary will become easy.
So, let’s get started!
Are you interested in planning a weekend getaway, a week-long vacation, or a year-long trip? Everything starts with a well-planned travel itinerary.
But you may be asking yourself, do I really need an itinerary? Or is an itinerary really necessary?
While on vacation, let’s think about some potential mishaps that could happen. Have you ever had to spend the night on a bench in a train station because you missed the only train of the day? Have you ever arrived at the airport to find out that your flight left the day before? Have you ever miscalculated the time on a world clock? Have you ever missed a ferry to a neighboring island? Did you know that you needed a visa to enter the country?
Having a well-planned travel itinerary will help minimize these problems and allow you to have more control over your trip.
If you are not the type of person who likes plans or itineraries, an itinerary will give your vacation structure and it will also help you save money, maximize your travel time and you won’t miss anything on your “wish list”.
But first we must outline the three types of travelers and we must decide what type of traveler are you.
Are you the type of travel who likes their itinerary planned every day and will stick to the itinerary no matter what happens? Are you a flexible traveler who can buy a one-way ticket and then go with the flow? Or are you the type of traveler who likes to have an itinerary but are willing to adjust the itinerary according to the current situation?
Me, personally, when I travel, I prefer to have a detailed travel itinerary because it keeps me on schedule and when I return home, I know that I have seen everything that I wanted to see. It also keeps me organized and efficient.
If you have ever sat down and tried to create an itinerary, you know that a well-planned itinerary takes a lot of time and effort. Your goal is to create a well-planned itinerary that is worth following, because a badly planned itinerary can ruin your entire trip.
The following eleven (11) tips will guide you on how to create a travel itinerary not only worth following but will help you avoid the most common mistakes.
1. Prepare a Wish List
A great way to start planning your dream vacation is to create a list of places you want to visit and things you want to do once you arrive.
Write down everything you know about the destination, things you want to do, the activities you want to try and attractions you want to see. This list does not need to include just the most popular places or highlights, but anything that is interesting to you. You will figure out later if your list of must-see places is doable.
You can also create an inspiration board. You can write down your ideas, you can rip out pages of magazines or browse old photos.
Do you want to go hiking in Katmandu? Do you want to ride camels in Dubai? Do you want to visit wineries in Tuscany? How about take a hot-air balloon ride in Cappadocia?
If there is anything specific that you want to do, write it down and plan your trip around that activity. Your travel advisor would be happy to help you make your travel dreams come true.
2. Decide on a Budget
All vacation plans start with a budget. It does not matter if you are planning to stay in a 2-star or 5-star hotel. It does not matter if you plan on cooking in your room or eating at fancy restaurants every night, you need a budget. Deciding how much you can spend will help you select places you can afford to visit and how you will get there.
Make sure your budget is realistic. Some destinations are more expensive than others, and you do not want to be unpleasantly surprised. It is always better to budget a little more because unforeseen situations do arise when you travel.
If you have a plan, you will avoid arguing with your travel companions if you go over your budget. If you are with a group of friends, you can all agree in advance how much you are willing to spend on activities, accommodation, or food.
This by no way means that you cannot be spontaneous and decide to splurge on some crazy activity you have always wanted to try or treat yourself to an expensive dinner. But it is a good idea to keep track of your day-to-day expenses to prevent inevitable stress and arguing.
As you can see, creating a budget is very essential when planning an itinerary.
3. What Season Should You Travel?
Most destinations have high and low seasons. They also have what they call shoulder season. High season tends to be more expensive because the weather is usually better, and it will probably be more crowded. During the low season you will see less crowds, but the weather may be more unpredictable. During shoulder season the weather is changing but the rates are typically good.
When deciding what season to travel, you need to consider the amount of rain, daylight hours and temperature when making your plans. In addition, make sure you have an alternative plan in case you get stuck with bad weather conditions for several days.
4. Do Your Research
With the internet it is easy to gather information about your dream vacation from the comfort of your home. You can also check travel guides and maps. Doing research about a destination can be daunting and that is why you need to reach out to your local travel advisor to help you sort out and process the enormous amount of information that you will come across.
Do not wait until you arrive at your destination and check-in your hotel to start to collect information on what to see and do. This can be a stressful situation not to mention all the precious time you will lose.
5. Make Travel Plans Together
If you're going on a trip with your partner, family, or friends, get everyone involved in the travel planning process.
Give everyone time to share their ideas and dreams. If you plan the trip by yourself or on your own, you will probably only include things that interest you. You will quickly find out that your travel companions don't share the same ideas about things to do.
If you plan the trip together no one will feel like they were left out and there is less chance that something will get overlooked or you forget something important.
So, make sure you get everyone involved in planning the trip.
6. It’s Important to be Flexible When You Travel
Remember there is no such thing as a perfect itinerary. If you have traveled before you know that things can and do go wrong.
Your flight can be delayed or cancelled, your rental car can break down, your preferred restaurant can be closed for the season, the train may have to undergo technical maintenance. It can also be a weather issue, civil unrest or burning wildfires. These are all situations that can throw a monkey wrench into your travel plans and send you scrambling.
When planning your trip, make sure you leave some free time just in case you must adjust your plans if something goes wrong.
7. Always Schedule a Free Day
It’s always a good idea to schedule a free day or two into your itinerary.
I usually like to keep the day of arrival free to rest and acclimate myself to the new destination. That way the next day I will be stress-free when exploring because I will be rested and more relaxed.
Feel free to build more days into your itinerary if you are staying longer.
Traveling can be quite challenging at times, and it is a mistake to cut your sleep because it will catch up with you in a few days and you may be forced to take a couple of days off just to get some rest.
So, make sure you build free time into your travel itinerary.
8. Your Itinerary Should be Balanced
Is your itinerary packed with things to see and do?
Prioritize the order of the places you want to visit and find the best way to visit them. Remember to keep your itinerary realistic. Make sure you consider the distances between destinations and/or activities.
You may not be able to see everything, even though you may desperately want to. Do not have your itinerary so packed with activities that you become stressed out. Realize that you may not have enough time to see everything.
Vacations should be fun and not stressful; it should not be a sightseeing race.
9. Consider Travel Times
Every time you travel from place to place you are losing vacation time.
Think about is it worth traveling on an overnight uncomfortable bus or train with seats that do not recline? Or would it be better to fly to the next destination, check into your hotel and get a good night sleep? If you decide to travel on overnight buses or trains you may save money, but you may arrive tired and exhausted with no energy to explore. Is it worth it? Wouldn't it have been better to fly instead? Did you book a hotel in the city where you can walk to all the attractions and restaurants? How far is the airport from the city center and how much time does it take to get there?
Travel times between places are one of the things that most people underestimate. There can be a big difference in what you plan and expect, and reality.
To maximize your travel time, the starting point of the trip doesn't have to be the same as the ending point. You can fly into one destination and fly out of another destination.
You should also factor in and consider jet lag. Jet lag affects everyone differently, some might feel it a few hours, some several days.
Remember to always calculate the traveling time between two destinations.
10. Make Sure You Have All Your Information Before You Leave
Make a hard copy of hotel bookings, flight tickets, restaurant reservations, car rentals information, travel insurance details and anything else you need. Keep all this info in one safe place so that it can be accessed easily.
Include the contact information for the nearest embassy or consulate in case of emergency. You never know when all this information comes handy.
11. Make Sure You Have Travel Insurance
Accidents do happen and when they do you want to be prepared. Travel insurance is designed to help cover expenses if something goes wrong during your trip.
An unexpected mishap could cause you thousands of dollars, so why take the chance. Travel insurance also covers missed or delayed flights, lost or delayed luggage, sudden illness, or death of a loved one and lots of other unfortunate acts.
Never leave home without travel insurance.
